Pool Repair Message Templates for Your Most Common Jobs
These are the six repair types pool service companies deal with most. For each one, here is a message template you can copy, adjust with the real price, and send today.
Pump Motor Replacement (~$800-1,200)
Hi [First Name], during your pool service visit today our technician noticed your pump motor is making a grinding noise and showing signs of bearing failure. If the motor seizes up it can damage the pump housing and turn a straightforward motor replacement into a much bigger repair. Replacing the motor now runs about [PRICE] and will have your pump running quietly again. We can have this done on your next scheduled visit. Would you like us to move forward?
Salt Cell Replacement (~$500-800)
Hi [First Name], our technician tested your salt cell today and found it is producing well below the chlorine level your pool needs even after cleaning. This usually means the cell is reaching the end of its life. Without a functioning salt cell your pool will have trouble staying sanitized. A replacement runs about [PRICE] and we can handle it quickly. Would you like us to schedule that?
Pool Heater Repair (~$400-900)
Hi [First Name], during your service visit today our technician found that your heater is not completing its ignition cycle. The unit is trying to fire but shutting off before it reaches temperature. This is usually a sensor or igniter issue. Diagnosing and repairing this runs about [PRICE]. If you use your pool for evening swims or this time of year gets cool, this is worth taking care of soon. Want us to schedule the repair?
Filter Replacement or Cleaning (~$200-500)
Hi [First Name], your filter pressure was running unusually high during today's visit even after we backwashed it. That usually means the filter media is worn out and no longer cleaning the water properly. Replacing it runs about [PRICE] and will get your filtration back to where it should be. Would you like us to take care of that?
Pool Light Repair (~$300-600)
Hi [First Name], your pool light is not turning on. Our technician checked the fixture and the issue appears to be with the light assembly itself rather than just the bulb. Repairing or replacing it runs about [PRICE]. This is a simple fix when caught early. Would you like us to schedule it?
Leak Detection and Repair (~$400-1,500)
Hi [First Name], during today's visit our technician noticed your water level is dropping faster than normal evaporation would explain. This suggests there may be a slow leak somewhere in the system. We recommend a leak detection inspection, which runs about [PRICE], to find the source before it becomes a bigger problem. Would you like us to schedule that?
Why these templates work
Every template above follows the same four-part structure: what the tech found, why it matters, what it costs, and a specific ask. That structure works because it gives the homeowner everything they need to make a decision. When homeowners understand the problem and the consequence, most of them say yes. The message is the gap between a repair that happens and one that gets ignored.
How to customize them without losing the format
Replace [First Name] with the homeowner's actual name. Replace [PRICE] with the actual estimate. If there is a specific detail that makes this repair more urgent for this homeowner, add one sentence after the consequence section. Everything else can stay as written. The templates are built to sound like you, not like a form letter.
What to do when a homeowner asks a question
Answer it directly, then restate the ask. If a homeowner says "do I really need this now?" the right answer is not a long explanation. It is one sentence about why timing matters, followed by "Would you like us to move forward?" Keep the momentum going. Every question is a sign the homeowner is interested. Treat it that way.
